Where your data lives
Hosted in France. Or in your own database.
Bus Register always runs on our servers, so there’s nothing for you to install or update. Your pupils’ data can stay with us, in France, or live in your school’s own database, on a server you control.
Your data with us, in France
- Hosted by LWS (Ligne Web Services), in data centres in France
- Your data stays in the European Union
- Backups, security and support done for you
- Nothing to set up
Your data in your own database
- Pupils and registers stored on your own server
- Bus Register still runs, and is updated, by us
- Connected in minutes from your Data & privacy page
- Move your data back to us at any time
What goes in your database
Your pupils (names, classes, stops, the days they don’t ride, notes and parents’ emergency numbers), your buses and stops, every register and your school’s activity log. Our servers then hold none of it: Bus Register reads and writes it in your database while someone uses it.
People’s accounts and roles stay with us, so signing in, password resets and support keep working, and your school’s settings (name, logo, colours) too.
What you need
- A MySQL 8 or MariaDB 10.6 (or newer) server that our servers can reach over the internet.
- An empty database and a user for Bus Register that can create tables in it.
- An encrypted (TLS) connection, with a certificate from a recognised authority. Strongly recommended: pupils’ data crosses the internet between our servers and yours.
- Backups, updates and security of that server are your school’s responsibility. While it doesn’t answer, Bus Register can’t show pupils or registers; signing in and your Data & privacy page still work.
How to connect it
- Someone whose role includes Data protection and hosting (your IT manager, by default) opens School → Data & privacy and chooses Connect our database.
- They enter the server’s address, the database name and the user. Bus Register checks it can connect, then creates its tables there.
- It copies your pupils, buses, stops, registers and activity log across and checks that every row arrived. Only then is your data deleted from our servers.
- That’s it: everyone carries on as before. To go back, Move our data back to Bus Register copies it back to us in France; nothing is deleted from your database.
Who is responsible for what
Your school stays the data controller. With your own database, the data rests on your server, and Bus Register only processes it while running the service for you, under our data processing agreement. When Bus Register updates, it updates your database’s tables too.
