Terms of service
Last updated 5 November 2026
These terms apply between Bus Register (“Bus Register”, “we”) and each school that uses Bus Register (“the school”). The order form or quote the school accepts, these terms and our privacy policy make up the agreement.
1. The service
Bus Register lets a school keep its school bus registers online: buses, stops and routes, pupils and their emergency contacts, prefects taking registers on their phones, live boards, registers kept online (printable if the school wants paper) and exports. Each school gets its own address and accounts.
2. Accounts
- The school’s first account is its primary administrator (usually its IT manager or bus coordinator). They, and anyone the school gives a role allowing it, manage the school’s accounts and roles. The school is responsible for giving accounts and permissions only to people who need them, and for removing them when they no longer do.
- Everyone keeps their password to themselves. Tell us straight away if you think an account has been misused.
- Prefects are pupils: the school decides who takes the registers, and supervises them as it would with any register.
3. The school’s data
- The school’s data stays the school’s. It is responsible for having a lawful basis to put it into Bus Register and for keeping it accurate.
- We only use it to provide the service, as the school’s processor, under the data processing agreement we sign with it on request.
- Our staff can open the school as support only if the school allows it in its settings; each visit is shown to the school.
- The school’s data is hosted in France. The school can download all of it at any time, and can choose to keep its pupils’ data in its own database instead. It is then responsible for that database: keeping it available, secure and backed up.
- When the agreement ends, we delete the school’s data within 30 days, unless the school asks for it sooner.
4. Acceptable use
Don’t use Bus Register for anything unlawful, try to reach another school’s data, test or overload our security without our written agreement, or resell the service.
5. Fees
The school pays the fees in its quote in advance, for each year or month of its plan, online through our payment provider Stripe (by card, SEPA Direct Debit or bank transfer). Card and bank details are given to Stripe directly; we never see or store them. An invoice is issued for every payment. Prices exclude VAT. If a payment fails or an invoice remains unpaid after a reminder, we may suspend access until it is paid; no data is deleted while an account is suspended.
6. Availability and support
We work to keep Bus Register available every school day and to fix problems quickly, but we can’t promise it will never be interrupted. Registers taken without signal are kept on the phone and sent when the connection is back. Support is by email at contact@busregister.com.
7. Changes to the service
We improve Bus Register over time. We won’t remove a feature the school relies on without telling it in advance.
8. Liability
Bus Register helps schools record who is on their buses; it doesn’t replace the school’s own duty of care. To the extent the law allows, our total liability in any year is limited to the fees the school paid us for that year, and we are not liable for indirect losses.
9. Ending the agreement
Either side can end the agreement at the end of a paid period by telling the other in writing. Either side can end it straight away if the other seriously breaches these terms and doesn’t put it right within 30 days of being asked.
10. Law
These terms are governed by French law. We will always try to settle any disagreement by talking first.
